The Solution
We implemented Appointment AI because it complemented our existing systems like Service Portal, FOCUS, and Reservation Manager, without creating extra work for my team. Appointment AI handles inbound appointment scheduling, freeing our agents to focus on outbound calls.
Implementation took about a week, and within two weeks, it was live across all four stores. Any minor issues we faced along the way were quickly resolved while working directly with Reynolds support team. Appointment AI created roughly 1,200 appointments in just one month. With AI handling the appointments, the BDC was able to capture more opportunities, including for new customers.
We also customized Appointment AI to fit each store’s specific needs. For example, appointment times were set in 15- and 45-minute increments to fill gaps that normally wouldn’t be booked online. Store-specific rules, like Sunday hours or daily appointment limits, were respected automatically, something other vendors couldn’t provide.
The result is a smoother workflow, reduced workload for our BDC team, and a more reliable scheduling experience for our customers. Appointment AI didn’t replace our team. Instead, it empowered us to focus on high-value tasks while ensuring every customer had an easy way to book service.
