Uniting Five Dealerships With One Seamless Workflow

Our dealership group has five rooftops spread out over 100 miles, but one consolidated business office. Deal documents have to be shipped to the office, which means everything has to be printed, loaded into a deal jacket, sent to a contract clerk, pulled apart, put back into the deal jacket, and filed. With this system, documents are often lost or misfiled.
This process was time-consuming and inefficient. We wanted to digitize the entire process, and adopting Reynolds eWorkflow has allowed us to accomplish that goal. With the docuPAD® system and Integrated Document Management, all of our documents are instantly available electronically. I review documents from every rooftop at my desk without having to call anyone. That saves me an incredible amount of time.

The Results

We don’t have to manually file car deals anymore because we store everything in the Electronic Deal Jacket. Thanks to the docuPAD system, there are no more missing documents or signatures, and I know all regulations are being followed. We also use Integrated Document Management to scan ancillary documents right into the deal.
Since implementing eWorkflow practices in our dealership we’ve:
  • Reduced the amount of paper we use.
  • Gave customers deal documents on thumb drives instead of printing them out.
  • Saved $75,000 in F&I forms.
