Setting Up the FOCUS Mobile Application

Hello and welcome to the FOCUS training video: Setting Up the Mobile App.

Today, I’m going to walk you through step by step how to set up the FOCUS mobile app for your dealership. We’ll establish user levels and distribution options, automated sales steps, and more.

Feel free to login into your Contact Management application and follow along. We will start in the administration role.  

First, we’re going to enable permissions for the administrator role. This will grant you full access to set up the mobile application.

Navigate to the Administration application. Use the Security drop down and select Roles. Open the dealership’s Administrator role. Select the Role Permissions tab and expand the Customer accordion. You will need to locate the Screen Access section and scroll down to change the access to “full” for all the following items:

Tools – Mobile App – Demo Drive Route

Tools – Mobile App – Geofencing

Tools – Mobile App – Settings

Tools – Solutions

Tools – Solutions – Mobile Manager

Tools – Floor Traffic Next Available

Tools – Goals

Traffic – Floor Traffic

Then, scroll down to the Reports section, change Sales Goal Report to “Yes.” Click the Save button.

Next, we’re going to enable permissions for Sales Management roles. This will grant your sales managers the access they need for the mobile application.

Navigate to the Administration application. Use the Security drop down, and select Roles. If applicable, search for the desired Enterprise and open the dealership’s Sales Manager role. Navigate to the Role Permissions tab and expand the Customer accordion. In the Screen Access section, change the access to “Full” for the following items:

Tools – Solutions

Tools – Solutions – Mobile Manager

Tools – Floor Traffic Next Available

Tools – Goals

Traffic – Floor Traffic

Then, scroll down to the Reports section. Change Sales Goal Report to “Yes”. Click the Save button.

Continue to complete those steps for remaining Management roles.

Next, we’re going to enable permissions for Salesperson roles. This will allow salespeople to use the mobile application.

Navigate to the Administration application. Use the Security dropdown, and select Roles. If applicable, search for the desired Enterprise. Open the dealership’s Salesperson role. Go to the Role Permissions tab and expand the Customer accordion. In the Screen Access section, you should change the access for “Traffic – Floor Traffic” to at least “View.”

Click the Save button. Continue to complete these steps for all remaining non-management roles.

Next, we’re going to enable FOCUS Mobile User Levels and Manager Flag. User levels are assigned to salespeople based on their experience. For example, new hires will be beginner user levels and tenured reps will be advanced.

Navigate to the Administration application. Use the Tools dropdown and select Batch Edit. If applicable, search for the desired Enterprise. Search all applicable Business Units. Click the Edit button. Verify the Manager box is checked for all users in a Management role so they can download and use Mobile Manager. Select the appropriate FOCUS Mobile/DigiSales User Level field for all FOCUS Mobile users. Click the Save and Exit button.

Next, we’re going to set up distribution options.

Navigate to the Customer application. Use the Tools drop down and select Prospects. Select the Distribution Options tab. If applicable, select the appropriate Group and/or Business Unit. As it is shown here, these fields will not display if you only have access to one store. Select Sales in the Prospect Category field.

Expand the Internet Prospects accordion. Scroll down to the Mobile Apps section and check the “Remove user from Prospect Distribution Rules when in the Sales Cycle in the mobile app” box.

Select the save button.

Next, we’re going to set up the automated sales steps. If the sales steps aren’t configured, the sales process will not be properly tracked.

Navigate to the Customer application. Use the Tools drop down, and select Prospects. Select the Sales Steps tab. If applicable, select the appropriate group – again, if you only have access to one store, the field does not display. Scroll down to the Automated Sales Steps section.

Set the following Actions and Automatic Checks:

Automatic Check: Meet and Greet

Action: Mobile App – Trade Appraisal

Next, we will verify that sales steps are not missing from the showroom process. Scroll up to the showroom process section. If any of the below sales steps are missing from Showroom Process, add them:

Click the Save button.

Now, we’re going to add teams for use within the mobile app for notification purposes.

The management team, or fallback team, allows you to define a user or team of users that will receive alerts from the salespeople if a manager is not available.

Navigate to the Customer application. Use the Tools drop down, and select Users. Select the teams tab. You can add a FOCUS Management Team if a management team or a fallback team does not already exist – this will be used in the FOCUS Settings screen. Additionally, you can add an Appraisal Team if an appraisal team is desired – this will be used in the FOCUS Settings screen. If the dealership prefers to have on individual review appraisals, an appraisal team is not required.

To add a team, you would click the “add” button, name your team, click the “save” button, and then select individuals that will make up that team.

Next, we’re going to set Sales Goals. Sales goals are unique to each salesperson and can be set up accordingly so every user knows their goals and if they’re on track to meet them each month.

Navigate to the Customer application. Use the Tools drop down, and select Users. Select the Sales Goals tab. If applicable, select the appropriate Business Unit and click the Search button. Verify that each user’s Sold goal is set appropriately. This goal displays in each user’s My Goals tab of the FOCUS mobile application.

Now we will set up the mobile app Specifications.

Navigate to the customer application. Use the Tools drop down, and select Mobile App. Select the Settings tab. If applicable, select the appropriate Business Unit. Set all of the specifications on this page based on the dealership’s preferences. If your dealership does not have any preferences, use these best practice settings:

Mobile Default User/Team – set as the Management team or the Mobile App Management team.

Floor Traffic Shot Clock – select the “Users have a limited time to accept their Floor Up assignment in Mobile App” checkbox. Set the time for 3 minutes, 0 seconds.

Client Assignment Declined Response – Select the “Salespeople will be prompted to select a reason as to why they reassigned a Floor Traffic Up or Prospect to another Salesperson” checkbox. In the user level field, select the Beginner level.

Automated Floor Traffic Queue Assignments – leave blank

Sales Cycle Requirements – Select the “Salespeople will be required to follow the Sales Cycle order in Mobile App” checkbox. In the user level field, select Beginner. Leave all other time notifications unchecked.

Media – leave blank

Trade Vehicle Appraisal – Select the “Enable the ability to send a Trade Appraisal from Mobile App” checkbox.

Trade Vehicle Appraiser – Select the Appraisal Team or the desired individual.

Vehicle Delivery Checklist – Select the “Enable default Vehicle Delivery Checklist in Mobile App” checkbox.

Needs Analysis Questions – Select the pre-loaded questions and/or use the custom question fields to add your own needs analysis questions.

Demo Drive Talking Points – Select the pre-loaded questions and/or add your own talking points that work within your current sales process.

Walk Around Questions – Select the pre-loaded questions and/or add your own questions that work currently within your sales process.

We are now going to establish the Geofence for your dealership. This is what allows salespeople to check in to the app when they’re available and ready to take their next customer.

Navigate to the Customer application. Use the Tools drop down, and select Mobile App. Select the Geofencing tab. If applicable, select the appropriate Business Unit. Select the “Enable Geofence” checkbox. In the Department Hours field, select the New Sales department. In the Geofence Fallback User or Team Field, select the Management Team or Mobile App Management Team. Draw a radius around the dealership.

If drawing a circle, click your desired center and drag to size. If drawing a rectangle, click and drag to size. If drawing a polygon, single click to begin and then click to drop additional points. Double-click to set zone. And then click and drag dots to adjust shape and size. Once you have your Geofence set, hit ESC on the keyboard and click the Save button.

Finally, we’re going to establish the demo drive routes. Your salespeople can pull up these unique routes based on the vehicle type while working the sale with the customer.  

Navigate to the Customer application. Use the Tools drop down, and select Mobile App. Select the Demo Drive Route tab. I applicable, select the appropriate Business Unit. Click the Add button. Enter a route name in the Name Field. Select the desired business unit in the Business Unit field. If a Vehicle Category/Make and Model is desired for this specific route, select these in the respective fields. Otherwise, leave them blank so this route applies to all Vehicle Categories/Makes and Models. In the map, right-click your mouse in areas around the dealership to drop waypoints to make the route circle back to start. Be sure to click on the right side of the road when setting waypoints.

Click the Add button.

Continue to complete these steps if additional demo drive routes are desired for other Vehicle Categories/Makes and Models.
