Maintaining the integrity of User IDs is critical to ensuring that only authorized individuals are accessing your ERA® system. Furthermore, access granted to User IDs should be carefully monitored to ensure users are only using functions and data in ERA that pertain to their role in your dealership. Reynolds is announcing two important upcoming enhancements to ERA executable 6210 to help improve password security and functionality access.
ERA User ID passwords will no longer display in 6210.
User ID password will no longer display in the Maintain User Security screen 6210. Rather, the password on line 2 will display as pound signs (#). Not displaying passwords associated with User IDs will help prevent other users from potentially using this information to log in with credentials that aren’t their own.
Also in the near future, the Password Encryption settings on line 6 in the Security Specifications screen 6230 will be deactivated. There will no longer be a need to specify encryption settings for passwords because all passwords will be encrypted with this enhancement.
How will this impact your current process?
Because system administrators will no longer be able to see the User ID password in 6210, if a user forgets their password it must be reset.
A new password may either be reset manually or auto-generated by the ERA system. In either instance, as soon as the password is generated and saved it will display as pound signs.
Warning message will display when granting users access to ERA Executable 7601.
When a system administrator gives a User ID access to Query Builder executable 7601 in Maintain User Security screen 6210, a warning message will appear. After reviewing the message, you can hit return to continue with the User ID set up or modification.
The warning message will read as follows:
GRANTING ACCESS TO 7601 WILL GIVE THE ABOVE USER ID ACCESS TO THE DOWNLOAD REPORT WIZARD AND THE QUERY BUILDER APPLICATIONS IN ERACCESS. ACCESS TO QUERY BUILDER WILL ALLOW THE ABOVE USER ID TO BUILD AND/OR RUN QUERIES FOR ALL AVAILABLE FILES IN EACH APPLICATION THAT THE USER ID HAS ACCESS TO ON LINE 4 IN 6210.
Why is this change being implemented?
The ERA system contains all of your customer, employee and business data. Query Builder, executable 7601, provides broad access to this data through building and running queries. This access should only be given to users with a need to see and use your data in this manner. It should be carefully monitored and controlled based upon each employee’s role in your dealership.
Is there an alternative to granting access to 7601?
The better solution is giving users access to Report Generator executable 6910 because your System Administrator can apply more controls using Report Generator/Letterwriter Security screen 6975. 6975 allows you better restrict or allow reports and files that can be accessed by users in 6910.
